Bath & West Showground

Arrival


Parking Pass - When arriving at the main gates, please drive through and head to the Showering Pavilion, which is situated in the middle of the showground. Please note that you must always display your parking pass.

Unloading - can be done at several different access points around the venue. The traders parking area will be signed and is away from the surrounding hall. Do not leave your vehicle near the hall such as in the visitor/disabled car parks, as it will be asked to be moved.

Build-Up Health & Safety - Please note that no under 16s are allowed in the exhibition hall during build-up and breakdown. This is a requirement of the venue’s Health & Safety policy.

Trader Parking - Trader’s vehicles can be left in the trader’s car park overnight, however we will not accept any responsibility for damage or theft. It is important to note that Westpoint now operate a new gate system which are barriers instead of locked gates.

Exhibitor Information Desk - Please report to the traders’ information desk which is situated in the front of the hall. Here you will be able to collect Name Badges, hand in required forms, collect deliveries and any missing paperwork.

We will accept and sign for any parcel/mail delivered to the show; however, we do not accept responsibility for them. Items will be refused if they do not indicate a stand and company name. Please do not send anything to the venue before Wednesday at 9am or after Saturday as no one will be there to accept delivery.

Show Breakdown


Removal of exhibits and equipment from the exhibition halls should be clear by 20.00 on Saturday night.

General Information


Staying On-site (camping) - You can camp onsite, there is a charge of either £25 no electricity, or £50 with a power hook up. The site provides toilet and shower facilities. If you would like to stay on site, you will need to complete the camping booking form and return to us at least a week before the event.

Stand Cleaning - All stands, aisle and common areas will be cleaned each evening of the show. Any large rubbish, black plastic bags or empty boxes are to be placed in the aisles at the end of each day for removal. Please break down any cardboard boxes. Note: The cleaners will NOT enter and clean any stand with night sheets.

Note: Late orders will be charged at a higher rate.

Note: All lighting installations must be carried out by the official stand contractor and complies with EVA regulations. If you are bringing your own lights or electrics LX Trix will be required to check that it meets the regulations.

Security

Security - Whilst every endeavour is made to secure the hall during build up and break down, we would ask that you are extremely vigilant whilst access doors are open and ensure that someone is always on your stand. Neither Craft4Crafters Ltd nor The Bath & West Showground can accept any responsibility for any loss or damage. Note: There will be overnight security throughout the show. During the opening hours of the show exhibitors are responsible for their own stands, any security matters must be communicated to the organisers office when the event is running.

Exhibitor Insurance

Insurance is the responsibility of individual exhibitors.

The exhibitor agrees its potential liability under statute or common law to all persons employed by it in the venue or acting under instructions or on its behalf and against risk or liability to third parties including the general public arising out of any actions or default of the exhibitor, its agents, servants of other acting under its orders or under its control and in case of public liability insurance with an indemnity limit of not less than two million pounds (£2,000,000.00).

The exhibitor agrees to take out and maintain such policies of insurance as necessary in respect of any exhibition equipment, stands and effects, display material and goods brought into the showground or onto the premises and for liability arising out of defect or accident caused whether directly or indirectly thereby.

The exhibitors shall indemnify the Organiser against: - All liabilities to other persons (including the servants and agents of the exhibitor for death, bodily injury, damage of property or other loss or damage of whatever nature including infringement of intellectual property rights) which may arise out of or in consequence of the presence of the exhibitor at the event or any act or omission of the exhibitor his servants, agents or invitees at or in connection with the event or the state or condition of anything.

All costs, charges and expenses borne by the organiser in dealing with the claims of such persons whether successful of not; all loss of or damage to the organiser’s property caused by the exhibitors, his servants, agents, or invitees.

Health & Safety


Traders Induction

You will be required to agree with the site induction rules on arrival at the venue and confirm you will comply with the health and safety rules onsite. A copy of this information can be found by following this link.

Venue Evacuation Map

Please familiarise yourself with the emergency evacuation map which can be downloaded by following this link.  Please take time to understand where your stand is located on the map, and which is your nearest fire exit point. It is important that this is fully understood by all personnel attending your stand. 

Risk Assessment

An exhibition stand is a workplace covered by health and safety legislation. As the exhibitor, it is your responsibility to ensure a suitable and sufficient risk assessment is completed. Failure to do so could lead to delays or ultimately the closure of your stand.

Note: It is important to bear in mind whilst completing your risk assessment that the stands are temporary structures and therefore limited in their stability, the walls are not designed for the hanging of large quantities of products. You should have self-supporting units.

Stand Safety

Please be aware that you must set up all products within your stand. It is potentially a major health and safety risk if you fail to do so. You may be asked to re-design your stand layout if this is the case.

Health & Safety

We would draw your attention to your responsibilities in respect of The Health & Safety at Work Act 1974. All exhibitors and contractors must work within the guidelines of the Act; please see below. In the event of an emergency during the show please contact the Organisers.

HEALTH & SAFETY EXHIBITION BUILD-UPS, OPEN DAYS AND BREAKDOWNS THE HEALTH AND SAFETY AT WORK.ETC.ACT 1974

All personnel, whether stand staff or contractors, should be aware that they have a responsibility to ensure, so far as is reasonably practicable, the health, safety, and welfare of all employees, and that any plant or systems of work which may be used are, so far as is reasonably practicable, safe and without risks to health. This includes that all employees are provided with information, instruction, training, and supervision to ensure not only their own health and safety but others working or attending the vicinity.
