Show Breakdown
ARRIVAL
Unloading: The venue provides convenient, flat-level access around the hall, with multiple access points located near the hall for easy unloading and loading. Vehicles can be positioned close to the doors during this process to ensure efficiency.
Important Reminder: Once you have unloaded, please immediately move your vehicle to the designated trader parking area to avoid congestion and ensure smooth operations for all exhibitors.
PARKING
Parking Pass -Set-Up Days: You do not need to display your parking pass upon arrival during set-up days. However, it must always remain in your vehicle.
Parking Pass - Show Days: Ensure your parking pass is clearly displayed in your vehicle. Parking marshals will check for it to grant you direct access to the venue.
Parking Location: Please park in the dedicated exhibitor car park, located away from the main visitor car park.
Important: DO NOT park in the visitor car park. Unauthorised parking may result in your vehicle being clamped or removed.
BUILD-UP/BREAKDOWN
Build-Up Schedule:
Wednesday, 26th November: Build-up runs from 8:00am to 7:00pm.
Thursday, 27th November: Build-up continues from 8:00am to 9:30am.
Important Notice: The venue operates an electronic gate system, which automatically locks at 7:00pm.
For departures: Anyone remaining on-site after 7:00 PM must obtain permission to leave the premises.
For arrivals: Please note that access to the venue will not be granted after 7:00pm, so ensure you arrive within the scheduled build-up times.
No persons under 16 years of age are allowed in the exhibition hall during build-up and breakdown periods, in accordance with the venue's Health & Safety Policy.
SHOW BREAKDOWN
All exhibits and equipment must be removed from the hall by 20:00 on Saturday, 29th November 2025.
Your cooperation is greatly appreciated to help maintain smooth operations.
General Information
Exhibitor Information Desk
On arrival, visit the Traders’ Information Desk at the front of the hall to:
Collect name badges.
Hand in required forms.
Retrieve deliveries or missing paperwork.
Deliveries
All parcels or mail to be delivered to the exhibition should be addressed as follows:

Parcels must include your stand number and company name to be accepted.
Deliveries can only be received starting Wednesday at 9:00am. Items delivered before this time or after the event concludes will be refused.
While we will accept and sign for deliveries, we cannot take responsibility for lost or damaged items.
Staying On-Site (Camping)
On site camping is available: - Without electricity: £25 / With power hook-up: £50
Facilities include toilets and showers. To book, complete the Camping Booking Form and return it at least one week prior to the event.
Stand Cleaning
Common areas and aisles will be cleaned nightly. Please place large rubbish, black plastic bags, and broken-down cardboard boxes in the aisles at the close of each day for removal.
Important: Stands covered with night sheets will not be cleaned.

Important: Late orders incur additional charges.
All lighting installations must be completed by the official contractor and comply with EVA regulations. If you bring your own equipment, LX Trix must inspect it for compliance.
Stand Furniture Orders
Furniture options:
6ft trestle tables (£12 each)
4ft trestle tables (£10 each)
Foldable chairs (£4 each)

Important: All furniture must be pre-ordered before the event. Unfortunately, we cannot accept on-the-day orders at the venue.
Security
While every effort is made to secure the venue, exhibitors are responsible for their own stands. Ensure someone is present during build-up and breakdown, as access doors remain open.
Overnight security is provided, but neither Craft4Crafters Ltd nor the venue is liable for loss or damage.
Exhibitor Insurance - KEY POINTS
Exhibitors must have insurance covering:
Public liability with a minimum indemnity of £2,000,000.
Equipment, stand contents, and goods brought to the venue.
The exhibitor indemnifies Craft4Crafters Ltd against:
Liability for injury, damage, or loss caused by the exhibitor or their representatives.
Exhibitor Insurance – insurance is the responsibility of individual exhibitors.
Exhibitor Insurance - In Detail
The exhibitor agrees its potential liability under statute or common law to all persons employed by it in the venue or acting under instructions or on its behalf and against risk or liability to third parties including the general public arising out of any actions or default of the exhibitor, its agents, servants of other acting under its orders or under its control and in case of public liability insurance with an indemnity limit of not less than two million pounds (£2,000,000.00).
The exhibitor agrees to take out and maintain such policies of insurance as necessary in respect of any exhibition equipment, stands and effects, display material and goods brought into the showground or onto the premises and for liability arising out of defect or accident caused whether directly or indirectly thereby.
The exhibitors shall indemnify the Organiser against: - All liabilities to other persons (including the servants and agents of the exhibitor for death, bodily injury, damage of property or other loss or damage of whatever nature including infringement of intellectual property rights) which may arise out of or in consequence of the presence of the exhibitor at the event or any act or omission of the exhibitor his servants, agents or invitees at or in connection with the event or the state or condition of anything.
All costs, charges and expenses borne by the organiser in dealing with the claims of such persons whether successful of not; all loss of or damage to the organiser’s property caused by the exhibitors, his servants, agents, or invitees.
Health & Safety - KEY POINTS
Traders’ Induction
All traders must review and agree to the site induction rules upon arrival.
Risk Assessment
Exhibitors must complete a risk assessment for their stand and submit it to operations@craft4crafters.co.uk.
Temporary structures like stands may have limited stability; ensure all products are supported by self-standing units.
Stand Safety
Set up all items within your allocated stand space. Unstable layouts pose serious safety risks and may require redesigning by the organisers.
Emergency Procedures
Familiarise yourself with emergency protocols. Contact the Organisers' Office immediately in case of any issues.
Health & Safety - In Detail
Traders Induction - You will be required to agree with the site induction rules on arrival at the venue and confirm you will comply with the health and safety rules onsite.
Risk Assessment - An exhibition stand is a workplace covered by health and safety legislation. As the exhibitor, it is your responsibility to ensure a suitable and sufficient risk assessment is completed. Failure to do so could lead to delays or ultimately the closure of your stand.

Note: It’s important to bear in mind whilst completing your risk assessment that the stands are temporary structures and therefore limited in their stability, the walls are not designed for the hanging of large quantities of products. You should have self- supporting units.
Stand Safety - Please be aware that you must set up all products within your stand. It is potentially a major health and safety risk if you fail to do so. You may be asked to re-design your stand layout if this is the case.
Health & Safety - We would draw your attention to your responsibilities in respect of The Health & Safety at Work Act 1974. All exhibitors and contractors must work within the guidelines of the Act; please see below. In the event of an emergency during the show please contact the organisers.

All personnel, whether stand staff or contractors, should be aware that they have a responsibility to ensure, so far as is reasonably practicable, the health, safety, and welfare of all employees, and that any plant or systems of work which may be used are, so far as is reasonably practicable, safe and without risks to health. This includes that all employees are provided with information, instruction, training, and supervision to ensure not only their own health and safety but others working or attending the vicinity.
